Role Overview
We are seeking a proactive and bilingual Legal Support & Records Coordinator to support our growing legal team at the firm. Your Responsibilities Will Include but Are Not Limited To:
- Opening new channels and creating case folders after engagement
- Assisting between IP Team and Sales Team on new leads
- Ensuring all initial documents are saved for attorneys and legal assistants
- Providing renewal deadlines and leads to the sales team (Renewal list)
- Preparing closure letters and confirming remaining balances with accounting
- Ensuring case closure by checking folders, saving closure letters, and updating Clio
- Organizing and keeping active/closed cases up to date on Docket
- Docket Management: maintaining ALTLEGAL, saving emails into Clio for international TM, managing Patent Docket, IP Docket, and updating deadlines
- Coordinating and assisting attorneys and legal assistants with document and record management
- Answering questions about records or files and delivering requested files to staff
- Safeguarding sensitive information at all times
- Follow up with clients for document review, signatures, and updates
- Sending documents to clients for review and signature
- Managing filings such as EOT, Non-substantive OA responses, SOU, and New Applications
- Providing client updates using templates (Publication Notice, Registration Notice, etc.)
- Assisting with scheduling internal and external meetings and coordinating with accounting for foreign agency invoices
- Supporting tasks assigned from IP and TRX departments
- Managing trademark maintenance services (quarterly billing)
- Assisting with incorporating TM into newsletters
- Providing IP content to sales and marketing teams (training, articles)
- Supporting creation of IP-related client resource materials
- Updating renewal deadlines in follow-up Excel files for the sales team
What We're Looking For:
- At least one to two years of experience supporting legal teams or in a legal support role
- Associate's degree or paralegal certification preferred
- Strong written and spoken English skills, with excellent grammar and punctuation
- Experience with e-filing court documents
- Proficiency in MS Office Suite (Outlook, Word, Excel)
- Strong understanding of legal terminology and procedures, especially in family law and civil litigation
- Excellent written and verbal communication skills
- High attention to detail and organizational skills
- Proficiency in MS Office Suite and legal case management software
- Ability to handle confidential and sensitive information with discretion
- Bilingual (English/Spanish) a plus for client communication

FORMACIÓN ACADÉMICA
Profesional en Derecho con tarjeta profesional vigente.

Mínimo 3 años de experiencia en derecho comercial, financiero o corporativo.

We're currently seeking a Caseworker – Legal Support Assistant to join our remote team in Colombia. While being based in Bogotá is considered an advantage, it is not mandatory. This position plays a vital role in client communication, and supporting legal processes within a dynamic and multicultural environment.
Mandatory Requirements :- Post-secondary education in Administration, Communications, Languages, Business, International Relations, Social Sciences, or related fields.
- English proficiency (minimum B1 level)
- 1–2 years of experience in administrative support, virtual assistance, customer service, or back-office operations.
- Experience handling confidential documents and data with discretion and accuracy.
- Strong client service orientation and ability to work under deadlines.
- Interest in immigration and a genuine desire to support people.
- Studies and experience in Legal, Paralegal, or Immigration Law are not required but will be considered a plus
- Organizational & Administrative Strength:
- Ability to manage multiple cases, track deadlines, and maintain up-to-date records.
- Proven capacity to follow structured processes and documentation standards.
- Communication Skills:
- Ability to write clear, professional emails, summaries, and reports using formal tone and templates.
- Attention to Detail :
- Meticulous approach to reviewing documents and identifying inconsistencies or missing data.
- Comfortable working with checklists and ensuring procedural completeness.
- Tech Proficiency & Remote Readiness :
- Experience with Google Workspace (Docs, Sheets, Gmail) and Microsoft Office (Word, Excel).
- Familiarity with online tools (Slack, Trello, Monday, etc.).
- Self-driven, able to work independently and report asynchronously.
- Assist immigration consultants in organizing and managing case files.
- Prepare, review, and maintain legal documentation.
- Serve as a client liaison, collecting information and providing regular updates.
- Collaborate with team members to meet deadlines and legal compliance standards.
- Prioritize and handle multiple tasks with precision and accountability.
